Job Description Summary

This position serves as the office manager and first point of contact for the Law Registrar’s Office. This is a fixed term position that works with the Law Registrars team to organize and retain academic records. Assists with the administration of academic policy and procedures. Responsibilities will also include processing student enrollment verifications, Bar certifications, and similar types of record requests. Will assist the team in gathering and organizing information to build the class schedule in the Student Information System, will troubleshoot registration issues and support Exam Administration each semester.

Job Description

Office Management

  • Maintains and provides a professional presence for in-person inquires.
  • Provides timely responses to phone and email inquiries.
  • Processes incoming postal mail and routes to appropriate office.
  • Maintains, evaluates, and orders office supplies.
  • Processes invoices and perform p-card reconciliation in Workday in line with financial policy and procedure.

Records Request Processing

  • In a timely manner, processes all:
  • Transcript Requests
  • Enrollment Verifications
  • Bar Forms and related certifications
  • Similar types and/or other FERPA related disclosures

Record Maintenance, Academic Policy Administration, Term Schedule & Registration

  • Under the advisement of the Registrar and Associate Registrar, assists in the maintenance of student records both physically and digitally under FERPA best practice
  • Assist in the administration of academic policies
  • Assists in building the term class schedule in the SIS and assists in troubleshooting registration related issues

Exam Administration

  • Each semester, work closely with the team in collecting necessary information from faculty in order to create exams in ExamSoft
  • Assist in the actual exam creation process, sending out access notifications to students in the appropriate timeframe, and related functions
  • Assists in keeping student and faculty adherence to all exam related policies including hardships and accommodations

Other

  • May perform additional or other work as assigned (e.g., assist with graduation and hooding ceremonies, ad hoc projects).

Additional Job Description

Accountabilities

Reports to the Law School Registrar and works directly with the Registrar team. Will interact with all populations at the Law School including students, faculty, and staff. Must maintain a high level of professionalism while responding to external and/or official entities.

Required Qualifications

Bachelor’s degree and demonstrated professional experience. Must have a high-level attention to detail and accuracy, possess excellent communication and interpersonal skills, and strong ability to multitask and efficiently manage multiple priorities at a time. Must be proficient with Microsoft Office software and Google suite products.

Preferred Qualifications

Preference will be given to candidates with higher education and/or Registrar experience. Familiarity with academic records and Student Information Systems is preferred.
